VHC with Video and Photo
VHC videos have by now become part and parcel of modern Service Management systems. However, depending on who your provider is, you could have two different systems; one for the VHC itself and one for Video. This is a costly and inefficient solution and you still need to find a way to get this information to your Fleet Manager for authorisation. ForWare has built in VHC and video into the one program, but that wasn’t enough for us. We decided to take it one step further.
In an industry-first, ForWare includes a two-way video function between the authoriser and the repairer. Not only that, but the ForWare video function is entirely web-based and requires no installation – another industry-first. ForWare is all about efficiency and slickness. With other systems, considerable time can be wasted typing up the repair requirements themselves, not so with ForWare. Technicians can instantly select vehicle issues, cause and required repairs – there’s no need to type it all up (ideal for use with gloves and greasy hands – we’ve thought of everything). While recording, you can pause and check back on the video before sending – no more frustrating wipe and start-overs.
Integrated Service Plans
Manufacturer service specs and warranty information are built-in and tailorable to fleet, repairer or customer. You can also include custom Vehicle Health Checks – it’s as flexible as you need it to be. Service Plans can be integrated too – including custom plans for lease fleets and second-hand vehicles. This includes predictive service requirements (including parts and labour time). You can even pre-purchase a basket of parts for common repairs. Naturally, all this is linked to our online billing facility. All of this can be accessed through branded portals which, again, are customisable.
Job Authorisation can be a time-consuming and oft-unwieldy process with the wrong system, leaving you stuck between the veritable rock and a hard place, which is the balance between not delaying the job (and customer) giving blind authorisation to a job.
With ForWare, none of this needs to be a problem. It includes built-in service history and a predictive maintenance dashboard, it also allows for Automatic Authorisation rules (cost rules, specific repair rules, time of day rules).
There’s even an Out of Office facility that enables managers to assign authorisation privileges to a subordinate when they can’t be there – this means no more job delays while staff try to get in touch with you to get the go-ahead for a job. All this will save you time AND money by avoiding protracted authorisation processes – keeping everybody happy from customers to workshop staff to your boss.
Unified Billing System
Flexible and unified billing is an integral part of an efficient Fleet Maintenance system, and one ForWare has been sure to include. After all, what use is a state of the art Fleet Maintenance system if you still end up spending hours wading through mounds of invoices with Accounts? With ForWare, post-repair billing exudes the same slick efficiency you get from the Service Management modules . Fleet billing and garage payment are made in one monthly block, while payments, remittances, statements and credits are available through a custom dashboard. The latter will cut down A LOT of time when it comes to reviewing invoices with Accounts at month-end – they’ll thank you for it (and so will your bosses). Of course, a Fleet Maintenance system is only as good as the people behind it. ForWare comes with dedicated support staff across multiple platforms. Training is also provided and is quick and efficient. You won’t have to spend days learning the system – we can have your staff up and running in 30 minutes. And remember, it’s just one system – so you don’t need to train every member of staff on multiple systems, with multiple accounts and logins (and multiple things to go wrong!).
